St Martin’s is a friendly, happy and thriving church with a focus on worship, fellowship and community in Acton, West London.  We have a real sense of family where everyone is welcome and feels at home. The Parish Administrator has a key role in the life of the church and will be the welcoming face of St Martin's. 

 

What we want: 

The successful candidate will support the Ministry Team and Parish Church Council and ensure the smooth running of our parish office. It is a varied, community-facing, part-time position at the heart of parish life, which needs an organised, approachable person who will embrace our vision and core values. They need to be able to work well with others, whilst also being self-sufficient and proactive. As the first point of contact for anyone getting in touch with St Martin's they have to be welcoming, proficient and reliable, with the confidence and resilience to communicate effectively with all the members of the public. 

 

 

Key Responsibilities 

•⁠  ⁠Be the first point of contact for phone, email, post, and visitors

•⁠  ⁠Manage the parish calendar, hall lettings, and event bookings

•⁠  ⁠Have weekly meetings with clergy to agree any additional weekly tasks and priorities 

•⁠  ⁠Support clergy with administrative tasks for both weekly and special services

•⁠  ⁠Support the organisation of weddings, baptisms, funerals alongside the Vicar

•⁠  ⁠Handle office admin: supplies, records, GDPR compliance, invoicing

•⁠  ⁠Ensure all documentation, policies, contracts etc are up to date and efficiently filed to be available as needed 

•⁠  ⁠Liaise with the diocese across regular administrative tasks as well as ad hoc tasks 

•⁠  ⁠Keep records invoices and regular outgoings to support the church treasurer 

•⁠  ⁠Log and report any urgent issues with the church building etc that require attention and liaise with Church Wardens to fix 

•⁠  ⁠Manage the Electoral Roll records maintain an up to date electronic parish database for congregation and key holders 

•⁠  ⁠Keep the church website and congregation communications up to date

•⁠  ⁠Liaise with contractors, wardens, and the Montessori Nursery on property matters

•⁠  ⁠Keep the parish office clean and tidy 

Key skills

•⁠  ⁠Excellent communication and people skills — you’ll often be someone’s first contact with the church

•⁠  ⁠Strong organisational skills and able to juggling varied admin tasks

•⁠  ⁠IT literate (email, calendars, excel, basic website updates)

•⁠  ⁠Discretion with sensitive records and GDPR awareness

•⁠  ⁠A collaborative, can-do attitude and willingness to pitch in wherever need
